Executive Assistant / Office Manager

Responsibilities

  • Provide comprehensive business and personal support to CEO
  • Handle travel arrangement and itinerary scheduling
  • Handle office administration functions
    • Prepare payment instructions, reimbursement claim forms and consolidate invoices and cheques for external accountant to prepare monthly account reports
    • Support monitoring and handle filings for regulatory compliance
    • Support marketing materials update and formatting
    • Maintain the filing system and contact list database
    • As the main contact with IT service provider on IT and computer service support
    • Responsible for office supplies  and pantry replenishment
    • Handle administration of employee insurance, health insurance, and IT equipment and office upkeep
  • Participate in ad-hoc project as assigned

Requirements

  • Fast paced, proactive, independent and dedicated to perform multi-tasks under a high pressure environment;
  • Excellent problem-solving abilities; communication and interpersonal skills
  • Solid experience in secretarial and administrative support;
  • Meticulous and sensitive to figures;
  • Self-motivated, attention to details and tactful with business sense;
  • Excellent in spoken and written English and Chinese, with Putonghua an advantage;
  • High proficiency in MS Office including Word, Excel, PowerPoint and Chinese Word processing;
  • Experience in finance / investment industry an advantage
